Wholley Investments Pty Ltd trading as AeroworxApps ("we," "us," or "our") operates the YourLog mobile application (the "Application" or "Service"). YourLog is an enterprise visitor, contractor, and staff management kiosk system designed to help facilities and commercial sites manage site safety, visitor check-ins, safety inductions, and emergency evacuations.
This Privacy Policy explains how information is collected, used, disclosed, and safeguarded when you use our Application on Android, iOS, or web platforms.
1. Information We Collect
To provide visitor registration, host notification, and workplace safety compliance features, yourlog collects the following categories of information when visitors, contractors, or staff members check in at a kiosk:
A. Personal Information
• Visitor & Staff Details: Full Name, Email Address, Contact Phone Number, Company / Employer Name, Person Visiting (Host), and Purpose of Visit.
• Staff Directory Data: Staff Name, Department, Job Title, Phone Number, Email Address, and optional NFC Card Identifier.
B. Media & Biometric Captures
• On-Site Photographs: Optional or mandatory selfie photographs captured via the device camera during check-in for badge printing and security identification.
• Digital Signatures: Digital signatures drawn on-screen by visitors to confirm agreement to non-disclosure agreements (NDAs), site rules, or safety inductions.
• Signed Agreement PDFs: Generated digital PDF documents containing the visitor's printed name, signature, timestamp, and company name overlaid onto site safety agreements.
C. Device Permissions & System Features
• Camera Access: Used solely within the Application to capture visitor profile photos and scan QR codes for pre-registered check-in and badge verification. Camera data is processed locally on the device and is never used for facial recognition or external tracking.
• NFC (Near Field Communication): Used on compatible devices to enable staff members to tap their physical staff ID cards or key fobs for fast check-in and check-out.
• Network & Wi-Fi Access: Used to enable local fleet synchronization between multiple kiosk tablets on the same private local network (LAN) and to serve the local Web Admin Portal. On Android, local Wi-Fi state access requires system location permissions strictly for network interface discovery.
2. How We Use Your Information
We use the collected information strictly for legitimate business, security, and safety operations at the host facility, including:
• Processing visitor, contractor, and staff check-ins and check-outs.
• Printing visitor badges and emergency pass labels.
• Sending instant host arrival notifications via Email, Webhooks, or Messaging integrations.
• Generating emergency evacuation roll-call rosters and interactive safety checklists.
• Maintaining signed records of site safety induction and NDA policy acceptances.
3. Data Storage & Privacy Architecture
YourLog is built with a Local-First, Privacy-Centric Architecture:
• On-Device Storage: Primary visitor logs, staff directories, selfie photos, digital signatures, and signed agreement PDFs are stored locally in encrypted SQLite databases and secure file storage on the kiosk device itself.
• Private Local Network Sync: Multi-kiosk synchronization communicates directly between local tablets on the site's private Local Area Network (LAN) without transmitting visitor logs to external cloud servers.
• No Selling of Personal Data: We do not sell, rent, trade, or monetize your personal information to third parties or advertising networks.
4. Third-Party Services & Processing
The Application may interact with third-party service providers solely to perform essential application infrastructure functions:
• Google Play Billing / Apple App Store / RevenueCat: Used to verify and process Pro licensing subscriptions.
• Custom Email Services (SMTP / Microsoft 365 Graph API): If enabled by the site administrator, arrival notifications are dispatched directly via the site's configured mail server.
5. Data Retention & Control
• Retention Period: Site administrators maintain complete control over data retention policies. Logs, photos, and signed PDF agreements are stored on the device until purged or deleted by an authorized administrator through the Admin Settings panel.
• Data Deletion & Exports: Site administrators can export visitor records to CSV/PDF or perform full database purges at any time.
6. Children's Privacy
Our Service is designed for commercial workplaces and enterprise facilities and is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13.

We may update our Privacy Policy from time to time. We will notify users of any changes by posting the new Privacy Policy on this page and updating the "Last Updated" date at the top.
